Terms of Service

Acceptance of Terms
By creating an account, signing in, or otherwise using Unikin (the "Service"), you agree to be bound by these Terms of Service. If you are using Unikin on behalf of an organisation, you confirm that you are authorised to accept these terms on that organisation's behalf.
Unikin is provided to organisations under a separate agreement with that organisation (the "Customer"). Where that agreement conflicts with these terms, the agreement with the Customer governs.
If you do not agree to these terms, do not use the Service.
Description of Service
Unikin is gate pass and visitor management software for workplaces. It is available as an Android mobile application and as a web portal. Both platforms serve all five roles — Guard, Employee, Supervisor, Admin, and HR — and provide the same functionality; the choice between them is a matter of convenience. The Service supports:
- Visitor gate passes, generated after approval by the host employee
- Employee exit passes, both returnable and non-returnable
- Monthly passes issued in bulk by the Customer's HR team
- Tracking of items moving in and out of the premises
- Employee movement logs and candidate entry records
- Reporting for administrators across the above records
Features may be added, changed, or withdrawn over time. We aim to give reasonable notice of material changes, but the Service is under active development and functionality is not guaranteed to remain fixed.
User Accounts & Responsibilities
Accounts are provisioned by the Customer organisation, not by individual users. Each account is assigned a role — Guard, Employee, Supervisor, Admin, or HR — that determines what the account can see and do. Only the Customer's administrators can create, modify, or deactivate accounts and change role assignments.
You are responsible for:
- Keeping your login credentials confidential and not sharing them with others, including colleagues
- All activity carried out under your account
- The accuracy of information you enter, including visitor details, host selection, item descriptions, and approval decisions
- Notifying your organisation's administrator promptly if you believe your account has been accessed without authorisation
Approval decisions recorded through Unikin are attributed to the account that made them. Where you approve a visitor, exit request, or item movement, you are treated as having made that decision.
Unikin records access-control information about real people, including visitors who are not users of the Service. When you enter another person's details, you confirm that you are permitted by your organisation to do so and that you are collecting only what your organisation's policies allow.
Acceptable Use
You agree not to:
- Attempt to access records, reports, or functions outside your assigned role, or to obtain another user's credentials
- Create passes or approvals you know to be false, or approve entry for a person you have not verified where your organisation's process requires verification
- Export, copy, or disclose visitor or employee records other than as your organisation permits
- Interfere with, disrupt, probe, or attempt to circumvent the security of the Service or its infrastructure
- Reverse engineer, decompile, or attempt to derive the source code of the mobile application or portal, except where this cannot lawfully be restricted
- Use the Service to harass, surveil, or unlawfully profile any individual
- Use automated means to access the Service or extract data from it without written permission
Suspected misuse may be reported to the Customer organisation.
Data & Content
All visitor, employee, pass, item, and movement records entered into Unikin belong to the Customer organisation. We process this data on that organisation's instructions in order to operate the Service.
Records are retained for a limited period and then removed, as described in our Privacy Policy. Individuals whose data appears in Unikin — including visitors and candidates — should direct requests about their information to the organisation whose premises they visited, as that organisation controls the records.
We do not sell Customer data or use it to build advertising profiles.
Intellectual Property
Unikin, including the mobile application, the web portal, its design, and its underlying software, is owned by its respective owners and protected by applicable intellectual property laws. Nothing in these terms transfers ownership of the software to you or your organisation.
Subject to these terms, you are granted a limited, non-exclusive, non-transferable, revocable right to use the Service for your organisation's internal access-control purposes for as long as your account remains active. You may not sublicense, resell, or make the Service available to third parties.
Feedback and suggestions you send us may be used to improve the Service without obligation or compensation.
Termination
Your organisation's administrators may deactivate your account at any time, including when you leave the organisation or change roles.
We may suspend or terminate access — for an individual account or for an organisation — where there is a breach of these terms, a security risk, a legal requirement to do so, or non-payment under the Customer's agreement. Where circumstances allow, we will give notice before doing so.
On termination, your right to use the Service ends immediately. Customer records are handled after termination as set out in the Customer's agreement with us and in our Privacy Policy. Sections covering data, intellectual property, disclaimers, limitation of liability, and governing law survive termination.
Disclaimers & Limitation of Liability
The Service is provided "as is" and "as available", without warranties of any kind, whether express or implied, including implied warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the Service will be uninterrupted, error-free, or free from data loss.
Unikin is a record-keeping and workflow tool. It is not a security guarantee. It does not verify the identity of any visitor, does not detect prohibited items, and does not replace physical security measures, trained personnel, or your organisation's own access-control procedures. Decisions about who may enter your premises remain yours. You should maintain a fallback process for periods when the Service, a device, or network connectivity is unavailable.
To the maximum extent permitted by law, we are not liable for indirect, incidental, special, consequential, or punitive damages, or for loss of profits, revenue, data, goodwill, or business opportunity, arising out of or in connection with your use of the Service — whether or not we were advised of the possibility of such damages.
To the maximum extent permitted by law, our total aggregate liability arising out of or relating to the Service is limited to the amounts paid by the Customer organisation for the Service in the twelve months preceding the event giving rise to the claim.
Nothing in these terms excludes or limits liability that cannot lawfully be excluded or limited, including liability for fraud or for death or personal injury caused by negligence.
Governing Law
These terms are governed by the laws of India, without regard to conflict of law principles. Subject to any dispute resolution provisions in the Customer's agreement with us, the courts at New Delhi, India shall have exclusive jurisdiction over any dispute arising out of or relating to these terms or the Service.
Changes to These Terms
We may update these terms from time to time — for example, when features change or when legal requirements change. The "Last updated" date at the top of this page reflects the most recent revision.
Where changes are material, we will make reasonable efforts to notify Customer organisations in advance. Continued use of the Service after the changes take effect constitutes acceptance of the revised terms. If you do not agree to the revised terms, you should stop using the Service and contact your organisation's administrator.
